Help prepare the venue for the evening event.

Silent Auction & Raffles

Set up Silent Auction items Set up Bucket Raffle items Fill out item description sheets for each item Keep Silent Auction, Bucket Raffle, and Card Raffle items separated Place raffle buckets next to each bucket raffle item

Dinner Table Setup

Place table runners & reserved signs Add wood slabs and centerpieces Set plates and flatware in their designated space

4:00 PM – Appetizer Prep & Dinner Help

Appetizer & Food Service (6–8 volunteers)

Assist with appetizer preparation Serve appetizers to guests Assist with serving main entrée dishes

Dining Area Support (4–6 volunteers)

Clear garbage from tables as needed Empty trash cans throughout the event

5:30 – Guest Arrival & Registration

Entrance Greeters (2–4 volunteers)

Welcome & Direct guests to the registration table Doors open promptly at 6:00 PM

All guests must stop at registration to receive their wristbands.

Registration Table (2–4 volunteers)

Responsibilities:

Assist with packet pick-up (alphabetized by last name or company) Distribute: Wristbands Raffle tickets Help guests put wristbands on

Money Runners (2 volunteers)

Collect funds from: Auction/game areas Raffle ticket sellers Bring money to the registration table for secure handling

Raffle Ticket Sales (6–8 volunteers)

Sell bucket raffle tickets Sell big-ticket raffle entries (deck of cards format)

50/50 Ticket Sales (2-4 volunteers)

Sell 50/50 raffle tickets Operate during designated sales window
(Start at 6:00pm, stop at 9:30pm)

9:00 PM – Event Take Down

Help with post-event cleanup:

Remove table decor Pack any left over food Pack supplies General cleanup
